Form Submission & Contact Assignment

The Form Submission & Contact Assignment settings control what happens after someone submits a NextCRM form.

When a visitor submits a form, NextCRM can create or update a contact and automatically assign contact status, contact type, lists, and tags. This helps you organize new leads or subscribers without doing manual work.

You can configure these options while creating or editing a form from:

WordPress Dashboard → NextCRM → Forms → Add New

or from:

NextCRM → Forms → Edit


What Happens After Form Submission

After a form is submitted, NextCRM can:

  • Create a new contact
  • Assign a contact status
  • Assign a contact type
  • Add the contact to one or more lists
  • Add one or more tags
  • Prepare the contact for campaigns or automation

This makes form submissions useful for lead generation, newsletter signup, popup signup, product inquiry, and customer follow-up.


Contact Status

The Contact Status option defines the default status for contacts created from the form.

Available status options may include:

  • Subscribed
  • Pending
  • Bounced
  • Complained
  • Unsubscribed

For most lead forms or newsletter forms, Subscribed is commonly used.

If you use dual opt-in, you may choose a confirmation-based workflow depending on how you want to manage new subscribers.


Contact Type

The Contact Type option defines what type of contact will be created after form submission.

Common contact types include:

  • Contact
  • Lead
  • Customer
  • Client
  • Partner
  • Other

For most public website forms, Contact or Lead is a good choice.

Example:

If someone submits a pricing inquiry form, you may set the contact type as Lead.

If someone submits a general newsletter form, you may set the contact type as Contact.


Assign List

The List field lets you automatically add form submissions to one or more lists.

Lists help you group contacts by audience or purpose.

Example lists:

  • Newsletter Subscribers
  • Website Leads
  • Popup Subscribers
  • Contact Form Leads
  • Product Interested
  • Course Inquiry

To assign a list:

  1. Go to NextCRM → Forms.
  2. Click Add New or edit an existing form.
  3. Find the Assigned To section.
  4. Click Select list(s).
  5. Choose one or more lists.
  6. Save the form.

After this, new contacts from this form will be assigned to the selected list.


Assign Tags

The Tags field lets you automatically add tags to contacts after form submission.

Tags help you understand the source, interest, or behavior of the contact.

Example tags:

  • Website Lead
  • Newsletter Signup
  • Popup Signup
  • Contact Form
  • Pricing Interested
  • Course Inquiry
  • Product Interested

To assign tags:

  1. Go to NextCRM → Forms.
  2. Open the form you want to edit.
  3. Find the Assigned To section.
  4. Click Select tag(s).
  5. Choose one or more tags.
  6. Save the form.

After this, NextCRM will add the selected tags when someone submits the form.


Example Setup

For a newsletter form:

Contact Status: Subscribed
Contact Type: Contact
List: Newsletter Subscribers
Tag: Newsletter Signup

For a pricing page form:

Contact Status: Subscribed
Contact Type: Lead
List: Website Leads
Tag: Pricing Interested

For a popup form:

Contact Status: Subscribed
Contact Type: Contact
List: Popup Subscribers
Tag: Popup Signup

Best Practices

Use separate lists for major audience groups and use tags for specific behavior.

For example, instead of creating too many lists, you can use:

List: Website Leads
Tag: Pricing Page
Tag: Popup Signup
Tag: Product Interest

This keeps your contact database clean and easier to manage.
