Actions, Delay & Conditions

Automation steps control what happens after the trigger runs.

NextCRM supports three main step types:

  • Action / Goal
  • Delay
  • Condition

Action / Goal

An Action / Goal is the task NextCRM performs inside the automation.

Examples:

  • Send an email
  • Add a tag
  • Remove a tag
  • Add a contact to a list
  • Update contact status
  • Send SMS
  • Delete contact
  • End funnel

Available NextCRM actions may include:

  • Wait X Days/Hours
  • Add Tag’s
  • Remove Tag’s
  • Add List’s
  • Remove List’s
  • Update Field’s
  • Update Status
  • Update Type
  • Update Meta
  • Delete Meta
  • Add Notes & Activity
  • Delete Contact
  • Cancel Automation

Add Tag’s

This action adds one or more tags to a contact.

Use it when you want to mark a contact based on behavior.

Example:

A contact submits a pricing form, and NextCRM adds the Pricing Interested tag.


Remove Tag’s

This action removes one or more tags from a contact.

Use it when a tag is no longer relevant.

Example:

Remove New Lead after the contact becomes a customer.


Add List’s

This action adds a contact to one or more lists.

Use it to organize contacts automatically.

Example:

Add new form subscribers to the Newsletter Subscribers list.


Remove List’s

This action removes a contact from a list.

Use it when a contact should no longer belong to a specific audience group.


Update Field’s

This action updates a contact field.

Use it when you want to change contact information during an automation.


Update Status

This action updates the contact status.

Example statuses:

  • Subscribed
  • Bounced
  • Complained
  • Pending
  • Unsubscribed

Update Type

This action updates the contact type.

Example types:

  • Contact
  • Customer
  • Lead
  • Partner
  • Client
  • Other

Update Meta

This action updates custom contact meta data.

Use it when you store extra contact information.


Delete Meta

This action deletes selected contact meta data.

Use this carefully because deleted meta data may not be recoverable.


Add Notes & Activity

This action adds a note or activity to the contact.

Use it to record important contact events.

Example:

Contact submitted pricing request form.

Delete Contact

This action deletes the contact from NextCRM.

Use this carefully. It should only be used when your workflow requires contact removal.


Cancel Automation

This action cancels another automation for the contact.

Use it when one workflow should stop after a new event happens.


End Funnel

This action ends the current funnel for the contact.

After this step, the contact will not receive further emails or SMS from that funnel.


Email Actions

Email actions allow you to send emails inside an automation.

A common email action is:

  • Send Email

Use this action when you want to send an automated email after a trigger.

Example use cases:

  • Welcome email after new contact
  • Follow-up email after form submission
  • Purchase confirmation
  • Course enrollment email
  • Re-engagement email

SMS Actions

SMS actions allow you to send a mobile SMS to a contact.

Available SMS action:

  • Send Mobile SMS

This action sends an SMS to the contact mobile number.

Use this only when the contact has a valid mobile number and has permission to receive SMS messages.


Delay

A Delay step pauses the automation before the next action runs.

Use delay when you do not want every step to happen immediately.

Example:

New Contact
↓
Send Welcome Email
↓
Wait 2 days
↓
Send Follow-up Email

When to Use Delay

Use delay for:

  • Welcome sequences
  • Follow-up emails
  • Course reminders
  • Trial reminders
  • Review requests
  • Re-engagement campaigns
  • Post-purchase follow-ups

Wait X Days or Hours

The Wait X Days/Hours action lets you wait for a selected time before the next step.

Example:

  • Wait 1 hour
  • Wait 1 day
  • Wait 3 days
  • Wait 7 days

Use timing carefully so contacts do not receive too many messages too quickly.


Condition

A Condition step lets you split an automation based on contact data or behavior.

For example, you can check whether a contact status equals Subscribed or Unsubscribed.

If the condition matches, the contact follows one path.

If it does not match, the contact can follow another path.


Condition Example

Example condition:

Check contact properties
Status equals Subscribed

Then:

Send Email

Another branch may check:

Status equals Unsubscribed

Then you may stop the funnel or avoid sending email.


When to Use Conditions

Use conditions when you want different contacts to receive different actions.

Example use cases:

  • Send email only to subscribed contacts
  • Skip unsubscribed contacts
  • Send different emails to customers and leads
  • Check if a tag exists
  • Check if a contact is in a list
  • Check contact type before sending
  • Separate customers by purchase behavior

Condition Branches

A condition can create multiple paths.

Each path can have its own steps.

Example:

Condition: Contact status
├── Subscribed → Send Email
└── Unsubscribed → End Funnel

This helps you build safer and smarter automations.
